Run maintenance like the equipment matters.
HarpethIQ puts work orders, scheduled maintenance, assets, parts, and people in one fast system of record. Built for hospitals and critical facilities, usable by any team that fixes things for a living.
Every module your team runs on, none of the ones they skip.
HarpethIQ is organized the way maintenance work actually happens: something breaks or comes due, the right person gets it, the record survives the audit.
Work Orders
Create, assign, and close work with statuses, sub-statuses, priorities, types, and attachments. Every change is on the record.
Scheduled Maintenance
Powerful preventive maintenance engines, allowing frequency-based, time-based, both, and multi-route modes that pull in assets dynamically.
Assets and Equipment
Manufacturer, model, serial, UDI, location, and full work history per asset. Equipment types keep the fleet organized as it grows.
Procedures
Versioned, step-by-step procedures attached to the work itself, so the task is done the same way on every shift.
Parts
Part IDs, vendors, and contracts tied to assets and work orders, so the fix and what it consumed live in one place.
Crews and Assignment
Technicians, crews, shifts, and service groups, with an assignment matrix that shows who carries what at a glance.
Reports and Graphs
A report catalog and dashboards over your own data: work summaries, statuses, due work. Numbers you can hand to a surveyor.
Vendors and Contracts
Service providers and contracts next to the equipment they cover, so outside work is tracked like inside work.
Predictive Maintenance
Programs that watch equipment data and raise the work order before the failure does, with notification routing you control and a data-quality view so you know how much to trust each signal.
Calibration
Calibration templates on the equipment that needs them, results captured on the work order at completion, and the record a surveyor expects when they ask for it.
GxP and Asset Revisions
Turn on GxP mode and controlled equipment takes change control: edits hold as numbered revisions until a reviewer approves with an electronic signature, and no one approves their own change.
Automations
A visual flow builder that watches what happens and acts on it: route the record, set the field, send the notification, enforce the rule. Your rules, running in production, without custom code.
“High speed, low friction makes for the best UX.”
The principle every HarpethIQ screen is built on
Need a field? Add it. No developers required.
The pages and forms your team lives in are configurable in production by your own admins. Add the field, place it on the layout, decide who sees it, and it is live — no ticket, no release, no invoice.
Your fields, on your pages
Add custom fields to work orders, assets, parts, and more, then arrange the page until it reads the way your shop thinks. Changes take effect the moment you save.
Request forms you build yourself
Build the service-request forms your requesters see, field by field: choose what to collect, mark what is required, and publish the link. No portal project.
Your vocabulary, per department
Statuses, types, priorities, and picklists are yours to define for each service group, so clinical engineering and facilities each work the way they actually work.
Your data has answers. Getting them should not take a consultant.
HarpethIQ computes reliability analytics continuously: mean time between failures by asset class, failure code rollups across the fleet, scheduled maintenance compliance. You walk into the budget meeting with trend lines, not anecdotes.
Customization happens on the fly, in production, by you. Custom fields, service request forms, access groups, and a report builder over every field in the catalog. No change orders, no professional services engagement, no waiting for the next major release.
This category has respected products in it that have not changed much in twenty years. We like them fine; we just work differently. HarpethIQ ships improvements weekly, and the roadmap is steered by the teams using it. When customers ask for something, it shows up in weeks, not in the next version.
- Mean time between failures, benchmarked by asset class reliability
- Failure code rollups across your whole fleet failure analysis
- Scheduled maintenance compliance, tracked daily compliance
- Report builder over every field in the catalog custom reports
- Graphs on any report, shareable with your team graphs
AI does the drafting, your team stays in charge: it writes reports and graphs from a prompt and drafts procedures your team reviews and approves. The AI bill is ours, and your admin caps monthly spend in plain dollars.
Describe the report. HarpethIQ builds it.
Type what you want to see, in plain English. The report builder writes the report against your own fields — joined correctly, saved to your catalog, graphed when you ask for a graph, and shareable with your team the moment it exists.
No report-writing backlog, no hired analysts, no SQL. The people who run the work build the reporting themselves, and every report stays inside your data: the builder can only reach the fields in your catalog.
- “Open work orders by crew, as a bar graph” graph
- “Active assets with their last and next PM dates” report
- “Scheduled maintenance compliance by month, this year” trend
- “Work orders touching infusion pumps, with parts used” detail
Every prompt-built report lands in the same catalog as the rest of your reporting: reviewable, editable, and yours.
Healthcare-grade isolation, not a tenant column.
HarpethIQ is built for HIPAA-regulated environments, and we would rather show you the architecture than a badge wall.
One database per organization
Your data lives in its own dedicated database, not in shared tables filtered by a tenant ID. Inside the platform, every credential carries least-privilege scope for its one job. And if you ever leave, offboarding is backup-first and fully audited.
No public path to your data
Public network access is disabled on production databases and secret stores; they answer only over private endpoints inside our virtual network. Application compute exposes no inbound public IP address. The front door is the only door.
A hardened front door
Every request passes through a web application firewall running OWASP managed rules, backed by platform-level DDoS protection, before it can reach the application over a private origin.
MFA, lockout, session control
Multi-factor authentication with enforced enrollment and recovery codes. Accounts lock after repeated failed attempts. Admins can force a password change or end any active session, and closing the tab ends yours.
An append-only record of everything
Every record change lands on an append-only audit trail, including sign-ins and MFA challenges, and is archived to durable storage. Any record's full history is one click away on its Activity tab.
Nothing ships straight to you
Every release climbs a three stage promotion ladder before it reaches production, with synthetic data standing in for yours along the way.
We state this carefully, because in healthcare the wording matters. HarpethIQ runs on HIPAA-eligible Azure services, encrypts data in transit and at rest, and maps its controls to HIPAA's technical safeguards: access control, audit controls, integrity, and transmission security. No protected health information reaches the platform until a business associate agreement is executed and the in-scope service inventory is reviewed with your compliance team. Compliance here is a discipline, not a footer badge.
